If you use subscription billing in your Microsoft business solution, you can generate invoices for a specific customer in just a few steps. The key choice is how the system groups the invoices: one invoice per customer, one invoice per subscription, or one invoice per subscription line.

The Customer option creates a single common invoice covering all subscriptions for that customer. The Subscription option creates one invoice per subscription. The Line option creates a separate invoice for each subscription line, which can quickly add up to a large number of invoices.

You start by filtering on the customer number in the subscription list. When you open the Create Subscription Invoice report, the system automatically carries that filter across, so you do not have to enter it again.

Filtering subscriptions for a specific customer

Say you have three subscriptions tied to a single customer. Start in the subscription list and set a filter on the customer number, filling it with the value for that customer. This shows the subscriptions that are ready to be invoiced.

From there you run the Create Subscription Invoice report. Because you already filtered on the customer number, the system auto-generates the same filter inside the report. You do not need to type it in a second time.

Choosing how invoices are grouped

Before running the report, you still need to consider the dates. Then you decide how the system should group the invoices. There are three options:

  • Customer: generates one common invoice for all three subscriptions, even though they are different subscriptions.
  • Subscription: generates one invoice per subscription.
  • Line: generates one invoice per subscription line. If a subscription has two lines, you get two invoices. This can result in quite a lot of invoices.

In this example, the Subscription option is the right fit, giving one invoice per subscription. You can also add a header text to the invoices if it is relevant.

Adding more customers to the filter

The customer filter is already in place from the subscription list. If you need to include another customer number, you simply add it in the filter using the normal filter options. Once everything is set, confirm with OK.

Reviewing the created invoices

After running the report, go to Sales Invoices. With the Subscription option selected for a customer with three subscriptions, you will see three separate invoices created, one for each subscription.
