Setting up the Subscription app for Business Central takes only a few minutes through a built-in wizard. After installing the app from Microsoft AppSource, you activate it with your email address and walk through four basic setup choices: the end-date and first-period calculation method, the number of sales days per month, the number series for your subscriptions, and the posting number series for invoices.
You can change all of these settings later on the individual subscriptions and in the general subscription setup. So you don’t need to get every choice exactly right during the initial wizard.
You can choose a separate posting number series for subscription sales invoices instead of reusing the standard posted sales invoice series. This lets you differentiate posted subscription invoices from all other posted sales invoices.
Installing and activating the Subscription app
Start by downloading the Subscription app from Microsoft AppSource. Once it is installed in your Business Central environment, you get a message that the app has been installed along with the option to activate it.
When you choose to activate, you enter your email address and click next. This opens a short wizard that takes you through the basic setup of the app.
Setting the end-date and first-period calculation
The first decision in the wizard is how the app should calculate the end date and the first period. There are several options to choose from. In this example we use “end of the current period”.
This setting simply gives you a pre-calculated end date. You can always override it on the separate subscriptions, so it is fine to pick one option now and adjust it later.
Choosing the number of sales days per month
Next you decide how many sales days there are per month. You can either use the actual number of days in each month, or set it to a fixed 30 days. In this example we leave it at actual days.
Setting up the number series
The wizard asks you to choose two number series.
- Subscription number series: This is the master data ID for your subscriptions, similar to a vendor number or a fixed asset number. You may need to create this number series yourself if you don’t already have one.
- Posting number series: This controls the posting numbers for the invoices created from the subscriptions. It is a document posting number series.
For the posting number series you have a choice. You could select the standard posted sales invoice number series, which means subscription invoices would draw on the same series as all other posted sales invoices. Alternatively, you can create a separate series so you can differentiate the numbers on posted subscription sales invoices. In this example we use a separate series.
Finishing the setup
That is the whole wizard. Once you click next past the number series, you reach a final page with help links to videos and how-to guides. If you are ready, just click finish.
The four setup fields you configured in the wizard are also available later in the subscription setup. If you are unsure about the calculation method or the sales days, you can always go back and change them. After clicking finish, the app is activated and the basic setup is complete.
