If you use the Assigned Quantity app from AppSource, you should also install the Graphical Inventory Profile. It is now free, and it works as a strong tool for explaining how much quantity you have assigned and how much is actually available on your sales lines.

The Graphical Inventory Profile lets you toggle between two views. With the “Use assigned quantity” field checked, you see only the quantities you have assigned on your demand lines, which should keep the profile from going below zero. Without it checked, you see the actual quantities from the sales order lines, which can show your inventory dropping to zero.

If supply changes and you forget to update the assigned quantities, the profile can go into minus. The tool makes it easy to spot exactly where that happens.

How the Assigned Quantity app and the Graphical Inventory Profile work together

The Assigned Quantity app lets you reserve a specific quantity directly on a sales line. In a typical scenario, you might enter an assigned quantity of two on a sales line in your database. That value tells the system how much of your inventory is committed to that particular demand.

The Graphical Inventory Profile then visualises this. It explains the relationship between the quantity you have assigned and the quantity available on the sales line, so you can understand the demand picture at a glance instead of digging through numbers.

Switching between assigned and actual quantities in the profile

When you open the Graphical Inventory Profile, you control the view with the “Use assigned quantity” field:

  • Check the field: The profile includes only the quantities you have assigned across all demand lines. In a balanced situation, the profile should not drop below zero.
  • Leave the field unchecked: The profile uses the actual quantities from the sales order lines instead. This can show your inventory falling to zero, depending on the demand.

Both views are useful. The assigned view confirms that your reservations hold up, while the actual view shows the underlying demand without the reservations applied.

Catching negative inventory when demand or supply changes

Demand and supply both move over time. When demand changes, the profile updates accordingly. The bigger risk is on the supply side. If supply changes and you do not update the assigned quantities to match, the profile can go into minus.

The Graphical Inventory Profile shows this clearly. You can see the point where the quantity goes below zero, which makes it straightforward to identify the mismatch and act on it.

Our recommendation

If you are already using the Assigned Quantity app, install the Graphical Inventory Profile alongside it. Use it as your explanation tool for understanding assigned versus available quantities, and for spotting when changes in supply leave you with negative inventory. Since the Graphical Inventory Profile is now free, there is little reason not to add it.
