Updating intercompany purchase orders after release in Business Central

When you work with intercompany trade in Business Central, a purchase order in one company creates a matching sales order in your supplying company. A common question is whether you can still change that purchase order after it has been released. The short answer is yes, as long as the supplying company has not started shipping the corresponding sales order.

How the intercompany order link works

The process starts when you create a purchase order and release it. Releasing the order automatically creates a sales order in your supplying company. The two orders are linked, so they stay in sync with each other.

In this example, the purchase order was created and released, which generated the sales order in the supply company. The need then came up to order a bit more, which meant adding another purchase line to the existing order.

Adding a purchase line to a released order

To change a released order, you first reopen it. Once it is reopened, you can add another item line just as you normally would. It is worth checking the inventory profile for the item you are adding before you commit, so you know the availability looks right.

After adding the new line, you release the order again. This pushes the change through to the linked sales order in the supplying company.

The change flows through to the supplying company

When you go to the supply company and open the sales order, you can see that it has been updated to match the change. The extra purchase line on your side becomes an extra sales line on the supplier side automatically.

The important condition is timing. You can make these changes as long as the supplying company has not started shipping the sales order. Once shipping has begun, the order is locked in and you can no longer reopen and adjust it this way.
